Vacancy: Executive Assistant

Artist Kat Anderson is looking for a self-motivated and highly organised person to provide virtual assistance.

Job Title: Executive Assistant 

Work period: Starting as soon as possible, to include a 3-month trial period

Days per week: 16 hours per week

Hours: Flexible hours, with a regular main working day (to be identified with successful candidate)

Fee: £20 - 25 per hour depending on experience

Location: Remote working online, UK time zone

About Kat Anderson

Kat Anderson is an award-winning visual artist, musician and filmmaker, currently working under the artistic and research framework ‘Episodes of Horror’, which uses the genre of horror to discuss representations of mental illness and trauma as experienced by or projected upon Black bodies in media. 

The Artist’s projects have previously involved the participation of vulnerable Black people, for example those living with mental illness and emotional trauma and those who have experienced state violence.

Anderson herself lives with mental illness, other disabilities and she is also neurodivergent. As her studio gathers momentum, and demands increase (with multiple projects running concurrently), the artist finds herself needing more support with project management and overall studio management.

JOB DESCRIPTION

Overall purpose of the post

The Executive Assistant will be responsible for managing all administrative and organisational aspects of the Artist’s schedule. They will work remotely and be available for online meetings every week when required, as well as carry out their role independently. The Executive Assistant will be working directly with the Artist and/or their Co-Producer.

Duties and responsibilities: 

  • Assistance with weekly goal planning and task management

  • Calendar and schedule coordination, including art projects, health diary, and travel.

  • Email, website and social media management

  • Setting up and managing studio workflows and systems

  • Accounting and bookkeeping

  • Meeting support, including note taking and identifying actions and deadlines

  • Researching new artist opportunities

  • Assisting with funding, including copy editing for applications, presentations, reports

  • Identifying and implementing strategies to improve communication and workflow

  • Ordering equipment and materials

Payment

This role is funded and paid directly through the Government’s ‘Access to Work’ scheme and the Executive Assistant will need to provide monthly invoices for the work carried out. The Executive Assistant will be responsible for their own taxation and National Insurance contributions.

PERSON SPECIFICATIONS

Experience & Skills

Essential

  • Proven experience as a Executive Assistant or similar role (e.g. Personal Assistant)

  • Strong familiarity with current online technologies, such as desktop sharing, cloud services and VoIP (e.g. Zoom)

  • Highly competent in word-processing and spreadsheets (e.g. Microsoft Office  and Google suites)

  • Highly competent managing online calendars and scheduling (e.g. Google Calendar)

  • Excellent phone, email and instant messaging communication skills

  • Excellent time management skills

  • Solid organisational skills and attention to detail

Desirable

  • Experience assisting artists

  • Experience assisting people with neurodivergence and or disabilities

  • Knowledge of supportive software 

  • Knowledge of art making and film production

  • Experience updating websites and social media

Personal characteristics

  • Self-motivated and disciplined, able to work independently

  • Ability to be proactive and flexible within a creative working environment

  • Task oriented, able to manage multiple priorities and work to tight deadlines

  • Enthusiastic, with a willingness to be hands-on, undertaking tasks at as many levels necessary

  • Sensitive, empathetic and patient, able to be honest and confident at voicing concerns and challenges
